Last updated 11 October 2026. This policy applies to Phoenix Shipping Pty Ltd (ABN 42 666 075 510), trading as Phoenix Shipping ("we", "us"). We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
1. What we collect
- Quote requests: your name, email and phone number, the ports you choose, and details of the vehicle, caravan, container or goods (description, dimensions and quantity).
- Bookings: where the unit is now, when it is ready, who receives it, company name, VINs and any notes you add.
- Messages and tracking requests: your name, contact details, the job or reference you give us and your message.
- Shipping and customs: to move your shipment we may need purchase invoices, registration papers, import approvals, consignor and consignee names and addresses, and identification required by customs, biosecurity or transport authorities in Australia, New Zealand or the destination country.
- Accounts: billing contact details and payment records for invoices.
- Website use: pages visited, device and browser type, approximate location and how you arrived, collected through Google Analytics and Cloudflare Web Analytics.
You can browse the website without giving us personal information. If you don't give us the details a shipment needs, we may not be able to price, book or clear it.
2. How we use it
- To price your shipment and send you the quote.
- To follow up on a quote: we email the price we showed you and send up to two short follow-up emails within the 14 days the price is valid. Reply "stop" or ask us at any time and we won't send more.
- To book, ship, clear and deliver your cargo, and to send you tracking links and shipment updates.
- To answer your messages, invoice you and keep business records required by law.
- To understand how the website is used so we can improve it.
We don't sell your personal information, and we don't add you to a marketing list without asking.
3. Who we share it with
Only as needed to provide the service or meet the law:
- Shipping lines and their agents (for example MOL, Toyo Fuji, OOCL, Maersk and Evergreen), terminals and stevedores.
- Transport companies that collect or deliver your unit, packers and compliance workshops you ask us to use.
- Our agents and customs brokers in New Zealand and the destination country.
- Government agencies, including the Australian Border Force, the Department of Agriculture, Fisheries and Forestry, the Department of Infrastructure, NZ Customs Service, the Ministry for Primary Industries and Waka Kotahi NZ Transport Agency.
- Service providers that run our systems: website hosting and storage (Cloudflare), email (Microsoft 365), freight management software, accounting software (Xero), analytics (Google) and software tools, including AI-assisted tools, that help us prepare quotes, documents and emails. They may only use the information to provide their service to us.
4. Overseas disclosure
International shipping means sending some information overseas, mainly to New Zealand and the country your cargo is shipping to or from (for example the United Kingdom, Japan, India, Sri Lanka, Indonesia, Malaysia, Thailand, Singapore, South Africa or the United States). Some of our service providers store data outside Australia, including in the United States. We only share what is needed for the shipment or service.
5. Cookies and analytics
We use Google Analytics, which sets cookies, to measure visits and which pages lead to quotes and enquiries. Cloudflare Web Analytics measures traffic without cookies. The quote box saves your name, email and phone in your own browser so you don't have to type them again next time; clearing your browser data removes them. You can block cookies in your browser settings or use the Google Analytics opt-out add-on.
Website chat
The "Ask us" chat on this website is an automated assistant. Your questions are sent to Cloudflare's Workers AI service to write the answer, using our prices, sailing dates and published information. We don't keep a copy of the chat unless you choose "Send this chat to Nick"; then we keep the conversation and the contact details you enter as a website message, for the same time as other website messages. Don't put sensitive details such as passport or bank numbers in the chat. The chat remembers the conversation in your browser tab until you close it.
6. How long we keep it and how we protect it
Website quote, booking and message records are kept for about 13 months, then deleted automatically. Shipping, customs and accounting records are kept for at least five years, as Australian tax and customs laws require. Information is stored with reputable providers, access is limited to Phoenix Shipping, and we take reasonable steps to protect it from misuse, loss and unauthorised access.
7. Access, correction and complaints
You can ask to see or correct the personal information we hold about you, or ask us to delete website records we don't need to keep. Email nick@phoenixshipping.com.au or call 0433 825 128. We'll reply within 30 days.
If you're not happy with how we handled a privacy concern, tell us first and we'll try to fix it. If it isn't resolved, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
